We help take the pressure off your back office so you can get back to running your business. That includes day to day bookkeeping (sales, purchases, bank reconciliations), payroll processing, and preparing and filing your PAYE and GST returns so you don’t have the worry. We can also help with invoices, statements and reminders, tracking bills and organising payments, and general admin troubleshooting (Word, Excel, Outlook and more). You can use us for one task or the whole lot — it’s flexible.
-
You can absolutely start small. Our services are designed to be flexible — we can do any or all of the tasks you need support with, and you only pay for the time spent. Some clients begin with a one-off tidy-up or GST help, then move into regular reconciliations or payroll. Others just need troubleshooting, training, or holiday cover. If you’re not sure what you need yet, book a chat and we’ll talk it through in plain English.
-
We bill hourly for our services, and the goal is simple: you pay only for the time spent on your work. If you’re worried about costs (totally normal), the best first step is a chat so we can understand what you need and recommend the most efficient approach. We also offer the option of an “office health check and quote,” which is a helpful way to clarify scope before you commit.
-
Yes — we can prepare PAYE and GST returns and organise payments, helping remove that deadline stress. Our focus is keeping your records tidy and compliant so you don’t feel like you’re flying blind when IRD dates roll around. If you’re behind, we can help you get caught up by reconciling accounts and sorting coding issues while everything is still fresh (which saves time and money later).
-
Yes. And don’t worry, you’re not alone, and there’s no judgement here. Our job is to bring calm order to the chaos: reconcile accounts, organise records, and put simple systems in place so things feel manageable again. A lot of stress comes from not knowing what’s missing — so we help you get a clear picture and a practical next step. If you want to learn, we can teach you (or your staff) the “tips and tricks” for efficient use of your software too.
-
We work across a range of software and can help you choose what suits your business. We’re tested and certified to assist with Xero bookkeeping issues and are a MYOB approved Partner across MYOB Business, AccountRight, and payroll products like ACE and IMS Payroll. We’re also Fergus Partners (job management), and we support tools like CashManager and Farm Focus as well. If you’re unsure what’s best, we can talk through your needs and set you up properly.
-
Yes — Fergus is specifically called out as a solution we support, and as Fergus Partners we can help set up your file, answer Fergus queries, and assist with job management tasks. Fergus can integrate with Xero or MYOB and track jobs from quotes to invoicing, helping reduce admin time and keep the team on task. If Fergus feels clunky right now, we can either do the admin for you or train you (and staff) so it becomes simpler and faster day-to-day.
-
Definitely. Training is a core part of OMS — from payroll software training (MYOB Payroll, ACE, IMS, Xero Payroll) to accounting software training (MYOB, Xero, Farm Focus, CashManager, Fergus). We also offer Microsoft Office training (Word, Excel, Outlook, PowerPoint, Access, Publisher) and practical “tips & tricks.” Training can be 1on1 or small groups, and it can happen at your place or in Alexandra.
-
Both options are available. The team supports clients from the OMS office and can also come to you — especially for training, troubleshooting, or when you want hands-on help. If you prefer remote support, that’s often the fastest way to get things moving — particularly with cloud-based systems like Xero, MYOB and Fergus.
-
OMS is based in Alexandra, Central Otago, but we regularly travel to Timaru, Dunedin, Queenstown — and further afield when needed. Often the first meeting is best in person, then ongoing support can be done remotely (online/phone). The easiest way to confirm what support will look like for your location (visits vs remote) is to book a chat — it’s built into our website for exactly that reason
-
The simplest starting point is the “Book a Chat” flow. You can schedule an appointment directly through the website (“We’d love to shout you a coffee and hear what you need help with”). From there, we clarify what’s urgent (e.g., GST due, payroll processing, overdue invoicing) and what can be staged. If you’re behind, the fastest wins usually come from reconciling accounts and getting your core records tidy — that sets everything else up to run smoothly.
-
At minimum, we need a clear view of what you want help with and access to the tools you already use (Xero/MYOB/Fergus, bank accounts, payroll records, invoices/bills). If that sounds overwhelming, don’t worry — the purpose of the first chat is to figure out what you have, what’s missing, and the easiest next step. Then we will send you a list. Many clients start with a tidy-up: bank reconciliation, organising bills, and getting payroll/GST into a steady rhythm.
-
Yes — debt collection assistance is one of our many services, and our bookkeeping services include sending invoices promptly and supporting timely collections with statements and reminders. For a stressed owner, this matters because cashflow problems are often “quiet stress” — you feel it every day. Our approach is to help you get systems in place (statements, reminders, and tidy receivables tracking) so you’re not chasing money in a panic at the end of the month.
-
Yes — holiday support is one of our extra service options. This is ideal when you need continuity (payroll still needs to run, bills still need to be paid, and customers still need invoices). We can step in short-term or keep a light touch on essentials until your staff returns. It’s one of those ‘save your sanity’ services — and it prevents a small break from turning into a big backlog.
-
Trust and confidentiality are core values in our business, and our referrals all describe us as professional, accurate, and reliable. The testimonials also repeatedly mention calm support, competence, and responsiveness — which is exactly what anxious business owners look for when handing over money-related tasks. If you want extra reassurance, the best next step is a chat where you can ask direct questions about process, access, and boundaries — and decide if it feels like the right fit.
-
OMS positions itself as bookkeeping specialists focused on the day-to-day “small details” that keep a business healthy — bookkeeping, payroll, admin systems, software support and training. The tone is also different: local, personal, and flexible (“you can hire OMS,” “we are your cheerleaders,” “30 minutes or as long as you need”). In practice, that means you can get hands-on support faster, plus coaching if you want to learn. For many small business owners, that combination is the real difference.
-
Either is fine — and this flexibility is a big part of the OMS approach. You can outsource tasks completely (bookkeeping, payroll, GST/PAYE prep and filing), or you can choose a coaching/training approach so you or your staff gain confidence. A lot of clients start with “please take this off my plate,” then later move into training once the panic is gone. The goal is always the same: accurate, tidy records and less stress — in the way that best suits your business.
-
Yes — our “Software Solutions” page is built around the question “Which accounting software is best for me?” and outlines options like Xero, MYOB, Fergus and Farm Focus. OMS can help with setup and support, and we’re positioned as certified/partner-qualified for Xero and MYOB and also with Fergus. If your current system feels messy or clunky, the win is getting it configured properly so it saves you time (instead of creating more admin).
-
Yes — our Downloads page links to useful documents for running a business, including items related to MYOB upgrades, MS Office training files, and IRD documents. We also provide many tips and tricks on our Social Media pages. This is a great “low pressure” way for you to get value before you make contact. If you’re the kind of owner who likes to understand things before handing them over, those downloads can help you feel more prepared and in control.
-
Our contact page lists the team and direct details: Kathy, Fiona, and Maxine — plus the office address (Alexandra) and office hours (Monday–Friday, 9am–5pm). If you’re ready to take action, you can also book a chat through the website’s scheduling page, which explicitly invites people to book a time and frames it as “Let’s make your bookkeeping one less thing to worry about.” For most overwhelmed owners, that’s the easiest first step.
-
We work with businesses at all stages, from people just getting started to longestablished businesses with staff and complex systems. Some clients come to us early because they want things set up properly from the beginning, while others reach out when the admin load has grown too much. Our approach is always tailored — we take the time to understand where you’re at and adjust support accordingly. Whether you need hands on help, training, or ongoing support, we meet you where you are.
-
That’s very common — and totally okay. Many clients start with a feeling rather than a clear list: “I’m behind,” “I’m stressed,” or “I don’t trust my numbers.” The purpose of your first chat with OMS is to talk through what’s happening in your business and identify the biggest pressure points. From there, we’ll suggest practical next steps — sometimes that’s a tidyup, sometimes training, sometimes full support. You don’t need all the answers before reaching out.
-
Yes — we work alongside accountants and help keep the daytoday records tidy so yearend is smoother for everyone. Your accountant still plays an important role, but OMS focuses on the ongoing bookkeeping, payroll, and systems that feed accurate information into that process. When records are organised and reconciled properly, it reduces last minute panic and costs at yearend. Many accountants appreciate working with bookkeepers who keep things clean and compliant throughout the year.
-
Yes — saving time is one of the biggest reasons clients work with OMS. This might mean taking tasks completely off your plate (like payroll, reconciliations, or GST prep), or helping you set up smarter systems so admin takes less effort. Training can also make a huge difference — learning shortcuts, better workflows, and cleaner software setups often cuts admin time dramatically. The goal is always the same: fewer late nights, fewer headaches, and more time for work (and life) that matters.
-
You’re not alone — software frustration is incredibly common. OMS supports a range of platforms (Xero, MYOB, Fergus, Farm Focus and more) and helps match the software to how you actually work. Often the issue isn’t the software itself, but how it was set up or explained. We can tidy up an existing system, simplify it, or train you so it finally makes sense. And if it still feels overwhelming, we can simply manage it for you instead.
-
That’s completely up to you. Some clients want to stay closely involved and understand their numbers better, while others prefer to hand things over and check in occasionally. We adapt to your preference. You’ll always have visibility and access to your information, but we won’t overwhelm you with unnecessary detail. The aim is confidence without overload — knowing things are under control, without needing to manage every small step yourself.
-
Your support can grow and change with you. OMS doesn’t lock you into rigid packages — services are flexible and charged based on time spent. That means as your business evolves (more staff, new systems, new locations), we can adjust the level and type of support. Some clients start small and scale up; others reduce support after training. The relationship is designed to adapt, not hold you back.
-
Yes — compliance is part of keeping your business running smoothly. While GST and PAYE are key areas, we also support payroll accuracy, recordkeeping, and system setup that aligns with New Zealand requirements. We’re not about scaring you with rules — we focus on practical compliance that fits into everyday operations. When systems are set up properly, compliance becomes part of the flow instead of a constant source of stress.
-
Yes — and this is where many clients find real relief. Clean, accurate records allow you to actually see how your business is performing. We can help you understand reports, cashflow patterns, and what your figures are telling you, without jargon or judgement. That understanding helps you make better decisions and feel more confident. Whether through reporting support or training, the aim is clarity — not confusion.
-
That’s absolutely fine. OMS is often used for shortterm or oneoff support — such as catching up overdue books, covering staff leave, setting up software, or training. You’re not required to commit to ongoing services if you don’t need them. Many clients come in for a specific issue and leave with everything sorted. Others decide ongoing support makes life easier. Either way, the choice stays with you.
-
OMS is a small, experienced team, and clients value the personal relationships they build. While different team members may assist depending on the work, communication is clear and consistent. You’re not passed around a call centre — you’re working with people who understand your business and history. That continuity is one of the reasons clients stay longterm and recommend OMS to others.
-
Most testimonials mention calm, reassurance, and relief — not just technical skill. When bookkeeping and payroll are under control, the mental load lifts. Deadlines stop looming, numbers make sense, and you’re not secondguessing yourself. That’s the real value of good backoffice support. OMS focuses on removing worry, not adding complexity, so clients can sleep better knowing things are handled properly.
-
Yes — preparation is a big part of stress reduction. OMS regularly helps clients get organised ahead of busy periods, staff changes, or End of Financial Year. This might involve reconciling accounts early, reviewing outstanding invoices, tidying payroll, or checking systems are working efficiently. Being proactive means fewer lastminute scrambles and clearer conversations with your accountant. It’s one of the simplest ways to protect your time and energy.
-
That tension is very real. OMS helps find a balance between cost and relief by focusing on efficiency. Sometimes that means outsourcing the most stressful tasks while keeping others inhouse. Sometimes it’s training to reduce mistakes that cost time and money. Because services are hourly and flexible, we can design support that fits your budget while still giving you breathing room. The aim is sustainable support — not adding another financial worry.
-
Yes — testimonials on our site include support for community and project based organisations, highlighting calm admin and reporting support. The principles are the same: tidy records, clear reporting, and reliable payroll or bookkeeping processes. Non profits often have unique pressures, and OMS adapts support to suit those needs while keeping things compliant and understandable.
-
You don’t need to be. OMS provides training for beginners and experienced users alike, across accounting software and Microsoft Office tools. Training is practical, patient, and tailored to your pace — not overwhelming. And if learning still isn’t your preference, we can simply handle the tech side for you. The goal is to remove fear around systems, not force you into something uncomfortable.
-
Yes — and this is more common than people admit. Whether it’s a tough season, rapid growth, or life getting in the way, OMS regularly helps clients reset. That usually starts with getting records up to date, reconciling accounts, and clarifying what’s outstanding. Once the mess is cleared, we can put systems in place to prevent it happening again. There’s no judgement — just practical help and a fresh start.
-
If bookkeeping is sitting in the back of your mind, stealing energy or sleep, it’s probably time. OMS often works with clients who say, “I wish I’d done this sooner.” You don’t need to be at breaking point. Getting help early often costs less, saves time, and prevents bigger problems down the track. A simple chat can help you decide — no pressure, just clarity.
-
The first step is to book a chat through the website or get in touch directly. That conversation is about understanding your situation, not selling you something you don’t need. From there, you’ll get a clear picture of options and next steps. Many clients feel lighter just knowing there’s a plan — even before any work begins.
-
Because the relationship is built on trust, clarity, and genuine support. Testimonials consistently mention patience, calm problemsolving, responsiveness, and feeling supported — not just “numbers done.” When your back office works smoothly and you know help is only a phone call away, it’s hard to go back. OMS becomes part of the team — quietly keeping things running so you can focus on the big picture.
-
Yes. When everything feels urgent, nothing feels manageable. One of the most valuable things we do is help you separate what’s critical from what can wait. In your first chat, we’ll identify immediate risks (like payroll, GST, or overdue reconciliations), then create a simple order of attack. That might mean stabilising the essentials first, then improving systems once the pressure eases. You don’t need a massive overhaul straight away — just a clear plan and steady progress.
-
That hesitation makes sense. A poor experience often comes from lack of communication, unclear expectations, or feeling judged. OMS takes a very different approach: clear explanations, patience, and regular checkins. You’re encouraged to ask questions, and nothing moves forward without you understanding what’s happening. We aim to rebuild confidence, not replace one stress with another. The relationship matters just as much as the technical work — that’s why so many clients stay longterm.
-
Absolutely. If bookkeeping jargon makes your brain shut down, you’re exactly who we’re here for. We explain things in everyday language, using examples that relate to your business. You’ll never be made to feel silly for asking questions — in fact, questions are encouraged. Whether it’s GST, payroll, or software reports, our goal is for you to walk away feeling clearer, not more confused. Understanding builds confidence, and confidence reduces stress.
-
Consistency and systems are key. OMS focuses on keeping your records tidy, up to date, and checked regularly, so issues are spotted early instead of piling up. This includes routine reconciliations, clear payroll processes, and timely GST preparation. When systems are working properly, there’s far less room for nasty surprises. And if something unusual pops up, we flag it early and talk it through with you — no lastminute panic.
-
Many small businesses — especially tradies, growers, and service providers — deal with fluctuating income. OMS works with businesses like this all the time. We help you understand cashflow patterns, plan ahead for quieter periods, and keep obligations like payroll and GST manageable. The aim isn’t perfection; it’s predictability and awareness. When you know what’s coming, decisions feel calmer and more in control, even when income isn’t steady.
-
No. OMS doesn’t operate on pressure or lockin tactics. Some clients use us for years; others just need shortterm help or training. Support is flexible and based on what actually helps you. If ongoing support makes life easier, great. If you reach a point where you’re confident managing things yourself, that’s also a win. The relationship is there to support your business — not trap it.
-
Yes — that peace of mind is one of the biggest benefits clients notice. By keeping your records up to date and addressing issues early, IRD deadlines stop feeling scary. Instead of scrambling, you’ll know where things stand and what’s needed. We help remove the ‘unknowns’ that create anxiety, so GST and PAYE become routine tasks rather than emotional events. Confidence comes from clarity — and that’s exactly what we focus on.
-
That’s a very common preference. Many clients want visibility without responsibility — meaning they understand what’s happening but don’t want to manage the work. OMS supports that balance. We can handle the admin while still explaining the big picture, reports, or decisions when needed. You stay informed without being overwhelmed. It’s about staying connected to your business numbers without being buried by them.
-
Transparency and communication matter. If an issue arises, it’s addressed promptly and clearly — not hidden or brushed aside. Bookkeeping isn’t about pretending errors never happen; it’s about catching them early and fixing them properly. Our focus on accuracy, checking, and tidy systems reduces mistakes in the first place, but when something needs correcting, you’ll be informed and supported through the solution.
-
Yes. Some clients prefer phone calls, others emails, others short checkins. OMS adapts communication style to suit you. The goal is to make things easier, not add friction. Clear, respectful communication is one of our core values, and it shows in how we work with clients. You won’t be left wondering what’s happening — and you won’t be flooded with unnecessary messages either.
-
Yes — that’s one of the biggest outcomes clients experience. When your numbers are accurate and up to date, decisionmaking becomes calmer and more confident. You’re no longer guessing or avoiding financial tasks. OMS helps create that sense of control by keeping systems clean, explaining what matters, and removing unnecessary stress. Control doesn’t mean doing everything yourself — it means knowing things are handled properly.
-
You won’t be. OMS works with people from all backgrounds, and nobody is expected to “already know” bookkeeping or payroll. Questions are welcome, and learning is supported at your pace. Many clients come in feeling embarrassed or behind — and leave feeling relieved and supported. The environment is collaborative, not critical. Our role is to help, not to judge.
-
Yes — simplification is a core focus. If a process feels overly complex, we look for ways to streamline it. That might mean improving how software is used, reducing duplicated tasks, or restructuring workflows. Complexity often creeps in over time; part of our job is gently untangling it. The goal is systems that support your business quietly in the background, not demand constant attention.
-
That’s a very common journey. Many clients start with doneforyou support to relieve pressure, then move into training once things feel calmer. OMS supports both — and the transition between them is smooth. You don’t have to decide everything upfront. As confidence grows, support can shift. Flexibility is built into how we work.
-
Admin stress isn’t just about time — it’s about thinking space. OMS reduces mental load by removing uncertainty, creating clarity, and ensuring you’re not carrying everything alone. Knowing there’s someone reliable handling the details makes a huge emotional difference. Clients often say they feel lighter, calmer, and more focused once support is in place. That mental relief is just as important as the practical outcomes.
-
You’re not late — you’re right on time. Many people delay asking for help because they’re busy, overwhelmed, or unsure where to start. OMS meets you where you are, without judgement. Even small steps forward can make a big difference. Putting it off doesn’t mean you’ve failed — it just means you’re human. The first conversation is about relief, not regret.
-
Yes. Once the immediate pressure is gone, we focus on prevention — systems, routines, and habits that stop overwhelm from building again. That might include regular reconciliations, clearer processes, or better use of software. The aim is sustainability, not constant catchup. When systems work well, stress stays low.
-
Fit comes down to trust, communication, and how supported you feel. The best way to know is to book a chat and see how the conversation feels. There’s no pressure — just a chance to talk through your situation and see if our approach aligns with what you need. Many clients say they knew early on that OMS “just felt right.”
-
That’s a completely valid reason to reach out. Sometimes you don’t need everything changed — you just need confirmation that things are on track. OMS can review, check, and reassure you, or suggest small tweaks if needed. Peace of mind is a service in itself, and you don’t need to be in crisis to deserve it.
-
Most clients expect cleaner books. What they don’t expect is how much lighter they feel. The relief of not carrying everything alone, the confidence of understanding their numbers, and the calm of knowing deadlines are handled properly often come as a surprise. OMS doesn’t just manage admin — we give business owners back headspace, time, and confidence. And that changes how they show up in their business and life.
